Free Tool — Review Response Generator
Write the reply to that Google review.
A bad review at 9 pm shouldn't cost you a night's sleep — or a week of customers reading an angry reply you fired off in the moment. Pick the situation, get a calm, professional response you can edit and post. Every reply is written for the people reading it, not just the person who left it.
Why replies matter more than reviews
Future customers read your replies more carefully than the reviews themselves — one calm, generous response to an unfair review tells them more about your business than ten five-star ratings. The full playbook, including the special cases, is in how to respond to a negative Google review without making it worse. It's also a local ranking signal: reviews and replies are a large part of how the map pack is won.
Replying well is the defence. The offence is volume: make asking effortless with the free review link & QR code maker, and check how many five-star reviews you actually need with the star rating calculator.
Questions
How should I respond to a negative Google review?
Fast, calm, and short: acknowledge the experience without arguing the specifics in public, then move it offline — "call me directly and ask for the owner". You are not really writing for the reviewer; you are writing for every future customer who reads the exchange. A defensive reply costs more business than the review itself.
What about a fake review, or one meant for another business?
Reply once, stating calmly that you have no record of serving them and inviting them to contact you if there is a mistake — then report it to Google from your Business Profile. Never accuse the reviewer of lying in public; the calm version tells readers everything they need to know.
Do I really need to reply to positive reviews too?
Yes. Replying to every review signals an active, cared-for business to both Google and the people reading. A glowing review answered with silence looks like nobody is home. Two warm sentences is plenty — echo the specific thing they praised.
Can responding to reviews actually help my ranking?
Google has said engagement with reviews is a factor in local ranking, and a wall of thoughtful replies measurably improves conversion from the people deciding who to call. It is one of the highest-return ten-minutes-a-week habits a local business can have.
